I am working as a project manager and was involved in preparing a Project Management Report for one of my client projects.  I personally followed this way of writing the report which gave me good value and appreciation along with perfect project implementation. Below are some of the key practices that I have followed and the steps to be included in the Project Management Report. 

  1. Be clear and concise, and avoid technical jargon: While writing the Project Management Report, it is important that you need to be clear on what you write without using any technical jargon or technical terms. Some of the stakeholders might not have an understanding of the technical jargon. Hence it is important that the Project Management Report should be written in a clear everyday language so that everyone understands and gets an idea of the project. 
  2. Short and simple: You need to ensure that the report is written in a short and sweet manner so that the stakeholders will not get bugged up with the detailed project information. It should only include the overview of the project rather than the complete information about it. It should be easily accessible to users. If the document is 20 pages long, then it will go unread. 
  3. Visual representation: You need to make use of graphs, charts, and diagrams to give a visual view, making it more easily understandable to the stakeholder. They can also be color-coded to represent the status of the project whether it is completed or late. With visual representation, the stakeholder will get an understanding within a single glance. 
  4. Progress update: You need to be conscious and honest about providing updates on the progress of the project. You need to ensure to let the stakeholders know about the over budget or behind schedule information so that the problem can be identified and resolved to get the project completed successfully within the given deadlines.
